Bot-free AI note takers on Reddit: the questions people ask, answered

Updated 27 October 2026 · By the Palmcard team

Short answerSome AI note takers join your meeting as a named participant, and others listen through your computer or sit inside Zoom, Meet or Teams. The bot-free options all have limits: Fathom's is Mac only and in beta, and the built-in tools tie you to one platform. Palmcard is bot-free, and we make it.

We could not read the comments on Reddit. This page works from thread titles and search snippets seen on 27 Oct 2026, then answers the questions they raise using our own checked research.

Three Reddit threads kept showing up in Google on 27 Oct 2026. In r/NoteTaking someone asked for the "best AI note taker that doesn't join as a bot". In r/microsaas the title was "Companies are banning AI notetaker bots from meetings". In r/sysadmin it was "Are there any trustworthy AI meeting recorders/notetakers?". Roughly 80, 40 and 40 comments, going by the counts Google showed.

We could not open those comment sections, so we do not know what anyone replied. This page takes the questions the titles raise and answers them from vendor help pages we did read. Where we are guessing, we say so.

Why do companies ban AI notetaker bots?

We cannot tell you why any particular company banned them, because we did not read that thread. What we can show is what a bot is, from the vendors' own pages. That is the likely source of the friction.

  • It is a visible participant. Otter's help centre says its Notetaker joins Zoom, Teams and Meet as a participant, named after the person who added it, and that it cannot join anonymously.
  • It needs letting in. Fireflies says its bot appears as "Fireflies.ai Notetaker", that the host may need to admit it from the lobby, and that the bot cannot be disguised.
  • It sends the meeting to a third party. Whoever runs the bot receives the audio. For an IT team, that is a new outside service in every meeting, whoever invited it.

The third point is our inference, not something a vendor says. It is the kind of worry the r/sysadmin title points at. A bot also raises the consent question every time it appears. See is it legal to use AI on calls.

Which AI note takers are bot-free, and what are the limits?

Bot-free comes in three forms: built into the meeting platform, a desktop recorder on your own computer, or a browser extension. Each has a catch. This is what the vendors' pages said on 27 Oct 2026.

Bot or no bot, from vendor pages checked 27 Oct 2026
ToolDoes a bot join?The catch
Fireflies.aiYes by default. Its Chrome extension is bot-free.The extension works on Google Meet only.
Otter.aiYes, as a named participant.We found no bot-free mode.
FathomYour choice: bot, or bot-free.Bot-free is Mac only (macOS 14.2+), labelled beta, and rolling out in phases. Windows is a limited Teams alpha.
Zoom AI CompanionNo. Native to Zoom. My Notes works across Zoom, Teams and Meet with no bots.Needs a paid Zoom plan or a My Notes plan. The host decides who can use it.
Google Meet notes (Gemini)No. Built into Meet.Needs an eligible Workspace edition or Google AI plan. Admins can switch it off.
Teams Copilot recapNo. Native to Teams.Needs a Teams Premium or Copilot licence. A recap after the meeting.

So the honest answer to the r/NoteTaking question is that there are several, and none is free of trade-offs. If you live in one platform, its own tool is the simplest. If you use all three platforms, you want something that listens through your computer. Fathom does that on a Mac. Palmcard does it on a Mac or Windows PC.

A tool being bot-free does not mean the other person is told. Sybill, which also has a bot-free recorder, says on its own blog that bot-free does not mean consent-free. We agree.

How do you judge whether a recorder is trustworthy?

The r/sysadmin question is about trust. Nobody can certify that for you, but five questions will get you most of the way.

  1. Where does the audio go? Get the list of outside services that receive audio or text. A clear answer is a good sign.
  2. What is stored, where, and for how long? Look for a delete option and a statement about training on your calls.
  3. Who is told? Check what the other side sees and what the tool asks you to say.
  4. Can your admin control it? Zoom, Meet and Teams all have admin switches for their own tools.
  5. Is there any litigation? Brewer v. Otter.ai (N.D. Cal., filed August 2025) alleges Otter's Notetaker recorded a call without consent from non-host attendees. These are allegations. We could not confirm the outcome.

We have not audited any vendor's security, and this list is not an audit. It is a way to ask better questions.

How does Palmcard listen without a bot?

Palmcard is a desktop app for Mac and Windows. It never joins the meeting, so nothing is added to the participant list. It hears the call through your computer: your microphone and the audio the call plays. From macOS 14.2 it takes call audio directly, headphones included. On macOS 12 and 13 it uses the microphone, so the call has to play on speakers.

It then shows you a private card with what you could say next. It is a live assistant, not a note taker, so it overlaps with the tools above only partly. We explain the difference in AI note taker vs real-time call assistant and the bot question in bot-free AI meeting assistants.

On data: transcripts, summaries, documents and your voice profile stay on your computer. While it listens, audio goes to the transcription provider, Deepgram, on EU servers, and the conversation text goes to the AI service you pick in the app. Storing calls on your Palmcard account is off by default. The full list is on the security and privacy page.

What the questions have in common

Going by the titles alone, the three questions share one worry: the tool's presence in the meeting. A bot is something everyone sees, something the host has to allow, and something IT has to approve. People want notes without that friction.

Taking the bot away moves the question rather than removing it. The other person no longer sees a participant, so you are the only one who can tell them. Bot-free tools put more responsibility on you, not less.

Where Palmcard fits and where it does not

We make Palmcard, so weigh this with that in mind.

  • It fits if you want help during the call, on any platform, with no bot, on a Mac or Windows PC.
  • It does not fit if you mainly want a shared, searchable library of meetings. Fireflies and Otter are better at team workspaces, and Fathom's free plan is more generous than anything we offer.
  • It does not fit a call held on a separate phone, since it hears only what your computer plays and records.
  • Cost. Plans start at €9 a month, with a 3-day free trial of 10 minutes of real calls and no card needed. See pricing.

Questions people ask

Is there an AI note taker that does not join as a bot?

Yes, several. Zoom, Google Meet and Microsoft Teams have native tools, Fathom has a Mac-only beta bot-free mode, and Fireflies has a Google Meet-only Chrome extension. Palmcard also listens through your computer on Mac and Windows.

Does bot-free mean the other person does not need to know?

No. Bot-free only means nothing joins the meeting. Consent and transparency rules still depend on where you and the other person are. Telling people at the start is the safe habit.

Why do some companies block notetaker bots?

We could not read the Reddit thread, so we cannot say what companies gave as reasons. A bot is a visible participant that sends the meeting to an outside service, which many IT teams want to control.

Are Otter and Fireflies safe to use?

We did not audit them. Both join as a bot by default. Check where audio goes, what is stored and whether your admin can control it. A lawsuit against Otter is alleged, not decided.

Is Palmcard a note taker?

It writes a summary, lists the promises made and drafts a follow-up after a call. Its main job is the live card during the call, so it is closer to a call assistant than a pure note taker.

Where does Palmcard send my audio?

While it listens, audio is streamed to Deepgram on EU servers for transcription. Conversation text goes to the AI service you choose in the app. Calls are stored on your account only if you switch that on.
